 Personal details such as your date of birth, address residential or office, National Insurance Number, telephone number(s) and email address(s).

  • Tenancy Agreement for an Assured Shorthold Tenancy.
  • Details such as your income and financial standing/bank statement this may to cross check with reference companies.
  • Letter from your employer to verify your employment history or Self-employment details.
  • Credit history and records relating to you, your partner or anyone else you are financially linked with (we obtain this information from credit reference and fraud prevent agencies).

  • Family, lifestyle and social circumstances.
  • Information about your solicitors, surveyors, valuers, other lenders, conveyancers and third-party intermediaries may be;
  • Usage information such as how you use our website and services.
  • Technical information such as internet protocol (IP) address, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access our website.
  • We may also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data may be derived from your personal data but is not considered personal data in law as this data does not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy notice

Correspondence address is obtained from one of the following sources: directly supplied via email, website form, database from company acquisition, lease or transfer documents, information received from solicitors or developer upon completion, previous managing agents, via letting agents or contractor review form.

Service address is obtained from one of the following sources: directly supplied via email, database from company acquisition or previous managing agents. Telephone number is obtained from one of the following sources: directly supplied via email/phone, website form, database from company acquisition, information received from solicitors or developer upon completion, previous managing agents, AP01 form, concierge service forms, via letting agents or contractor review form.

Bank details are obtained from one of the following sources: directly supplied via email, database from company acquisition, previous managing agents or contractor review form.

Properties owned is obtained from one of the following sources: directly supplied via email, website form, database from company acquisition, lease or transfer documents, information received from solicitors upon completion, previous managing agents, AP01 form (for new company director appointments) or concierge service forms.

VAT number is obtained from one of the following sources: directly supplied via email, database from company acquisition, previous managing agents or contractor review form.

We will not share your personal information with any other third party other than mentioned or then with your consent. This may be taken verbally over the phone or then over an email.

We will endeavour that the amount of information collected and processing is proportionate.

Information may be held in regard to your personal data:

To keep your Information safe is important and will be held at our offices and those of any subsidiaries of ours or and third-party agencies, service providers, representatives and agents as described above. We have security measures in place to seek to ensure that there is appropriate security for information we hold including those measures detailed in our GDPR policy.

Duration your personal information will be kept with us:

UK Real Estate Consultants Limited will hold personal information for the duration of our management and up to 7 years from the ending of our contract. For prospective clients we will hold information up to 6 years.

If CCTV is in operation and when you visit our offices, we may keep the images retained for a period of time up to 12 months or as dictated by the system’s recording capability. Images may not always be available when requested.

Telephone calls recordings, our recordings will be notified upfront, in advance of the telephone call in accordance with the law. We may use it for quality and monitoring purposes or to use it in a legal claim. We may retain this up to 12 months.

Reasons we can collect and use your personal information:
We collect and use your personal data on the following lawful bases:

  • Company secretaries: this is on a legitimate interest basis for corresponding with regarding the sale of a property.
  • Suppliers/Contractors (sole traders): this is on a contractual basis to send works instructions, process invoices and make payments.
  • Freeholder/landlord: this is on a contractual basis to fulfil our management duties.
  • Property owners (leaseholder and freeholder): this is on a contractual basis to fulfil our management duties.
  • Renters and residents/occupants: this are on a legitimate interest basis for corresponding with whilst in residence, to carry out management services and to contact in emergencies.
  • Emergency contacts: this is on a legitimate interest basis to contact in emergencies.

Financial details are required from you as to allow us to carry out our contract as managing agent appointed for or on behalf of your landlord or if applicable the resident management company.

Information in regard to transferring out of the EEA.

If applicable where Dropbox for business is concerned San Francisco United States of America cloud servers in order to benefit from the organizations and efficiency associated with this software.

If applicable and in case of Google applications including the google drive it covers a wide range of areas in the United States.

In case any information of your personal data is given it will subject to the safeguards and compliant with the restrictions set by the EU in relation to the storage of personal data.

Personal Data Breaches: / Reporting Personal Data Breaches:

Personal data breaches where UK Real Estate Consultants Limited is the data controller, where the Company establishes that a personal data breach has taken place, UK Real Estate Consultants Limited will take steps to contain and recover the breach. Where a personal data breach is likely to result in a risk to the rights and freedoms of any individual the Company will notify the ICO.

Where the personal data breach happens outside the UK, the Company shall alert the relevant supervisory authority for data breaches in the effected jurisdiction.

Communicating personal data breaches to individuals

Where the Company has identified a personal data breach resulting in a high risk to the rights and freedoms of any individual, the Company shall tell all affected individuals without undue delay. The Company will not be held responsible or required to tell individuals about the personal data breach where: the Company has implemented appropriate technical and organisational protection measures to the personal data affected by the breach, in particular to make the personal data unintelligible to any.

As such, we do not offer any refund other than where a clear error has been made and we are made aware of this within 1 calendar month of the payment being made.
